What is this update about?
In the high-stakes world of revenue generation, every meeting is an opportunity to build trust, identify needs, and move deals forward.
But when reps are stuck multitasking, juggling conversation, notetaking, and follow-up reminders, the quality of engagement drops, and so does your bottom line.
That’s where the new HubSpot Meeting Notetaker comes in.
This isn’t just another productivity tool. It’s a game-changer for revenue teams who want every customer interaction to be captured, contextualized, and actioned automatically.
In this blog, we’ll break down exactly how the HubSpot Meeting Notetaker works, why it matters for your revenue engine, and how your team can start turning conversations into conversions without lifting a finger.
Why HubSpot Meeting Notetaker is a game-changer?
An AI Notetaker can make a massive difference to your operational efficiency. For instance, as per Fathom, its users save 20 minutes from every meeting, which equates to 1.5 weeks a year.
HubSpot Meeting Notetaker is potentially the best AI note-taking App. Imagine your sales team never missing a detail again, and never wasting brainpower on typing notes mid-call.
With HubSpot Meeting Notetaker, every Zoom, Google Meet, or Microsoft Teams meeting
Call is automatically recorded, transcribed, and logged right into HubSpot.
This lets reps stay fully present with customers while the Notetaker captures everything from nuanced objections to key buying signals in real time.
This ends your toggling between call & CRM along with dependency on third-party tools. You’ve now instant, accurate context for follow-ups, pipeline updates, and coaching on your fingertips.
How does HubSpot Meeting Notetaker work?
To enable the HubSpot Meeting Notetaker for your account:
✅ Go to Settings > Tools > Calling > Call setup > Call Configuration.
✅ Make sure Call recording and Transcription, and analysis are all enabled for your account.
✅ Switch the HubSpot Meeting Notetaker feature to On.
✅ Once enabled, Meeting Notetaker will automatically join new meetings with external contacts for Sales Hub Professional or Enterprise users who have connected calendars.
✅ Your team will instantly receive recordings, transcripts, summaries, and action items.
✅ There’s no need for hosting or additional integrations.
✅ For reps who’d rather keep it old school and skip the recordings, they can simply head to Settings > General > Calendar and toggle Meeting Notetaker off.
✅ HubSpot Meeting Notetaker can join meetings with at least one external contact and a Zoom, Google Meet, or Microsoft Teams link as the location.
✅ For Zoom meetings, the host must enable recording and allow the notetaker to join by adjusting Zoom settings (password: Meetings_208916).
Meeting links for Zoom, Google Meet, or Microsoft Teams can be added in several ways:
👉 Directly from an external calendar.
👉 By choosing a HubSpot video conference location when scheduling through the CRM.
👉 Via a HubSpot scheduling page.
Conclusion
In high-stakes revenue conversations, attention is everything. HubSpot Meeting Notetaker eliminates the distraction of manual notetaking, so your reps can stay fully present with customers while automatically capturing the insights that fuel effective follow-ups and smarter coaching.
For revenue leaders, this isn’t just convenience but a clear path to higher deal velocity, stronger pipeline hygiene, and better team performance.
